Property Manager and Maintenance Supervisor, Host & Keep

Host and Keep is a vacation rental investment firm in South Florida. Our current property management territories are Broward and Miami Dade county with plans for territory expansion in 2023. The right candidate would need a car and be located central to our property locations.

A Property Manager is a crucial part of our team in helping ensure our guests have a memorable experience by doing whatever it takes to provide a problem-free property for them to stay! South Florida is one of the "hottest" vacation spots in the world, and we provide some of the best vacation rentals! We are looking for a dynamic leader to lead our Miami/Ft. Lauderdale property integrity, quality and guest readiness efforts. The role will manage properties and guest relations.

The primary responsibilities of the Property Manager will be through superb fieldwork, which includes (but not limited to): Ensure all properties in our portfolio are regularly inspected to detail in a a way that guests will have a 5 star stay- from checking appliances, to fixing small things, ensuring all is working and looking perfect and as pictured in the listing. As emergencies or guest needs come up, be the face to the guest for onsite resolutions, meeting vendors for repairs, addressing guest needs, etc. The nature of this position is both scheduled and on call as property needs could arise in an unscheduled manner. The right candidate knows how to use basic tools, can quickly problem solve and thinks on their feet to ensure the property is functional and looking its best at all times. The right candidate can show by example and lead a team when needed to ensure resolutions occur.

You Can Expect To Do The Following:

The Field Manager's performance will be based on their ability to complete tasks efficiently and without supervision, problem-solve independently, prioritize tasks, implement processes, and communicate effectively.

  • Oversee maintenance calls for the properties for minor non specialized repairs, like broken closet doors, towel racks, small paint jobs, toilette fixesa and other repairs.

  • Oversee all property inspections and ensure any issues with the properties are addressed, always leaving the properties guest ready to the highest standards and ensuring they are inspected every few weeks and any identified issues are handled before next guest check in when possible

  • Be the point person for all level 2 troubleshooting resolving 90% of the issues when escalated to you

  • Leverage a property inspection checklist, work with the cleaning and maintenance teams as needed to address property issues in an immediate manner so open issues don't ever linger to the next week

  • Have full ownership for the properties in terms of onsite physical condition and maintenance

  • Be on call as localized needs come up (pool equipment troubleshoot, Internet is down, guest needs to be walked through how to use an appliance)

  • Experience with tools for basic handyman type repairs when needed onsite (fix a running toilet, tighten a bed frame, etc)

  • Inspect, report and resolve property and guest issues on the field. 

  • Communicating with the team effectively when an issue arises during an inspection that requires attention, and taking ownership to see it through to resolution

  • Act as liaison between guests and any department necessary, including Housekeeping, Maintenance, Guest Services, etc.

  • Respond to emergency situations as needed (including after hours)

  • Ability to use software task system and notification process for efficiency in receiving and assigning needs

  • At least 1 year previous experience in property management or maintenance

  • Ability to speak/read/understand Spanish is required

  • Organized, ownership mentality, and detail-oriented

  • Ability to deal with difficult guests; solving guest problems in a timely manner with a hospitality and customer service first mindset

  • An ability to interact professionally and responsibly via phone and email with guests, owners, and vendors.

  • Flexible schedule of availability

  • Manage expenses for the property with a company card, appending expenses and working with operations and owners directly when needed to report issues, updates and expenses

  • Some heavy lifting and basic maintenance work required, with the occasional home depot or store trip

Guest Service Supervisor

We are a Vacation Rental Investment Firm in Miami with rapid growth and plans for expansion to other territories in the next 12 months.  We are looking for a dedicated senior Guest Services Supervisor.  We need someone motivated to grow to full time, responsive, professional and with great grammar in English and spanish. This role would grow into a supervisor position with time.We specialize in real estate and property management. This role would report into our Booking and Operations Manager.

Things you'll be helping us with:

Handle support Guest Communications In a timely manner and use property folders as information reference
Serve as Booking Coordinator assisting with direct booking requests, moving guests around as needed to ensure the highest occupancy and meeting property booking revenue goals reporting to our Booking manager
Cleaning Company Coordination when needed
Guest Registration in building dashboard when applicable to the property
Create home manuals, and property signs
Help with listing creation on various platforms and using our management dashboard
Repairs - support coordinating vendors as needed and troubleshooting with guests
Special Projects as needed
